CaddieOS security and data
Built so your course stays in charge of its golfers and its money.
What CaddieOS records, what it never touches, who can see what, and how every change is kept on the record.
You run your competitions and remain responsible for them in your jurisdiction. This page describes how the software works; it is not legal advice.
Money
CaddieOS records. Your course moves the value.
No money passes through CaddieOS
CaddieOS never holds, sends or pays out money. There is no card processing, cash handling or crypto in the prize book.
You collect entry fees and redeem prize credit through your own shop or billing. CaddieOS keeps the record.
An append-only prize book
Prizes are recorded in the unit you choose, such as pro shop credit. Nothing is edited after the fact: a correction is a reversal entry, and redemptions are recorded against the balance.
Closing a competition checks the exact reviewed results before any award is written, and reopening one writes reversals rather than deleting history.
Golfers
Golfers choose what they share
Consent at entry
A golfer joins your competition by choosing to, on caddie.fun, or your staff add them as a walk-up or from your roster. Joining, following your course and showing a name on a public board are separate choices.
Public boards and the pro shop TV show the names golfers opted to display. They never show contact details, personal balances or hidden cards.
Email addresses
A golfer without a caddie.fun account can leave an email address at your counter, on the group scorecard, or through your roster import, where your staff confirm the golfer agreed. It is used to send their results. Announcements go only to golfers who separately agreed to them.
Staff see a masked address and where it came from, never the full address. Addresses never appear on boards, the TV or the audit log, and every email carries an unsubscribe link.
Saving results to an account
A results email can carry a link that saves the results to a free caddie.fun account. It works once, expires after 30 days, and stops working if your staff change the address. An address typed on a group scorecard gets results only, until your staff confirm it.
When a golfer saves their results, your roster entry links to their account and your copy of the email address is removed.
What you can see
You see your roster, the golfers who entered your competitions and their results in those competitions, and how many entries are linked to a caddie.fun account. You do not see a golfer's other rounds, groups or history on caddie.fun.
Insights
Aggregates only, above a minimum group size
Today
Insights cover participation and repeat players in your own closed competitions.
Course-wide figures
Figures about caddie.fun golfers at your course in general are not released yet. When they are, each figure will be an aggregate that is only shown above a minimum group size, applied on our servers, after a privacy review.
Access
Your business, your staff, your record
Tenant isolation
Every business is a separate tenant. Each request rechecks the person's current staff grant for that business before reading or writing, and database rules tie every competition, entry and prize record to its business.
Staff roles
Owners grant roles to staff: owner, manager, pro, staff, starter and committee. A starter sees arrivals and groups without scores or prize balances. A committee reviewer can review cards without editing them. The last owner cannot be removed.
Invitations are private links. Removing a grant takes effect on the person's next request.
Audit log
Staff changes are written to an audit log with who made them and what changed.
Independent course verification
Before a business can publish course information or run competitions, an independent reviewer at caddie.fun checks its authority to act for the course.
Links that expire
The pro shop TV board opens from a display link that expires and can be revoked at any time.
A group scorecard link scores only that group's golfers, stops working 4 hours after the play date ends, and is revoked when staff redraw pairings, move a golfer between groups or revoke the link.
